Job Description:

Job Overview:

Support the Project Development Office by giving administrative support to the Project Manager and development team. 

Essential Functions:

  • Administrative assistant will support the Project Development Office with any administrative tasks necessary to accomplish their job responsibilities effectively and efficiently.
  • Responsible for providing administrative office functions and support to the Project Development Office including but not limited to: filing, maintenance of records, data input, correspondence, e-mail messaging, handling incoming mail, and answering telephone.
  • Preparing and coordinating analytical projects and spreadsheets for the Project Office, such as facilitating issue resolution; interpreting information in key departmental reports and communicating trends to the President and Hotel Department Heads.
  • Prepare agendas, notices, minutes and resolutions for company meetings and generate reports.
  • This position will interact with a diverse group of internal and external callers and visitors.
  • Will assist with travel arrangements and draft correspondence when necessary.
  • Coordinate all information with Hotel Accounting Offices in order to expedite internal purchase orders, change orders, funding requests and check signing.
  • Verify complex invoices against purchase orders.
  • Compile all the documents and specifications in different stages i.e. Concept Design, Design Development, For Construction Documents and Shop drawings and product technical data during construction.
  • Develop a master control list to track down the material approval and shop drawing submitted by the contractor.
  • Experience within FF& E and construction environment helpful. 
Job Requirements:
  • 2-3 years experience as Administrative Assistant in high paced environment, preferably within a purchasing environment including FF & E experience.
  • Proficiency in verbal and written English is critical.
  • Must possess a s high degree of proficiency in Microsoft Office: Outlook, Word& Excel.
  • Must type a minimum of 60 wpm accurately and proofread accurately.
  • Proficiency in dictation and short hand are also a necessary function of the position.
  • Must have the ability to maintain strict confidentiality, exercise good judgment in any situation, and be self-directed to multi-task and maintain optimum productivity in a fast-paced high-pressure environment.
  • Even tempered person who can collaborate with a variety of personalities and teams and reflect a diplomatic, professional, and positive attitude.
  • Candidate must have  impeccable written and verbal communication and organizational skills.
